Open Enrollment is the time most employees expect to review or change benefit elections. Certain changes in family, employment or insurance status, however, may create another opportunity to update coverage during the year.

These changes are commonly known as Qualifying Life Events, or QLEs. Understanding what may qualify, how quickly to notify Human Resources and which documents may be required can help employees avoid missed enrollment opportunities.

What Is a Qualifying Life Event?

A Qualifying Life Event is a change in family, employment or insurance status that may allow an employee to make benefit changes outside the normal Open Enrollment period.

Common examples include:

  • Marriage, divorce or legal separation.
  • The birth or adoption of a child.
  • A change between full-time and part-time employment status.
  • An employee or family member gaining or losing other health coverage.
  • A court order requiring coverage for a child.

The benefit changes available depend on the event, the employer’s plan and applicable enrollment rules. Employees should contact Human Resources as soon as possible rather than assume a particular change will qualify.

Act Quickly After a Life Event

The LP Insurance Qualifying Life Events flyer advises employees to notify Human Resources within 30 days of the event. Missing the applicable deadline may mean waiting until the next Open Enrollment period to make changes.

Documentation may be required. Depending on the event, this could include a marriage certificate, birth certificate, adoption documentation, court order or letter showing a gain or loss of other coverage.

Most approved changes begin on the first day of the month after the event, while birth or adoption coverage generally begins on the event date. Payroll deductions may also change.

Welcoming a New Baby? Do Not Miss the Enrollment Window

A birth is a joyful and busy time, but benefit enrollment still requires prompt attention. Employees generally have 30 days from the date of birth to request benefit changes. If a baby is not enrolled within the required timeframe, claims associated with the birth and hospital stay may not be covered by the plan.

A new baby may also allow an employee or spouse who was not previously enrolled to join the plan. The flyer notes that employees can begin the enrollment process even while waiting to receive the baby’s Social Security number or birth certificate. Human Resources can explain which information is required immediately and what may be provided later.

What Employees Should Do

  1. Contact Human Resources promptly. Do not wait until the 30-day window is nearly over.
  2. Explain the event and date. The event date often determines the enrollment deadline and effective date.
  3. Ask which changes are permitted. Available elections depend on the event and plan rules.
  4. Gather supporting documents. Provide requested records as soon as they are available.
  5. Review payroll deductions. Adding or removing coverage may change the employee contribution.
  6. Confirm the effective date. Keep written confirmation of the completed enrollment change.
